
Instituto Sidarta is an educational institution known for its innovative pedagogical approach. At the close of each semester, parents meet with teachers to discuss their children's performance, and organizing these meetings was a highly complex operation: parents called the school office, which manually checked each teacher's schedule trying to find openings, while respecting the limit of five bookings per student.
With eAgenda, by Mupi Systems, the flow was automated end to end. Students, class groups, and teachers are registered in the platform, teachers' schedules are integrated with Google Calendar, and the limit rules are configured in the system. Parents access a dedicated site with the student's institutional email and a password defined by the institution, see the available teachers, and make their bookings, up to five per student.
For every meeting booked, the Google Meet link is generated and communicated automatically to parents and teachers. What used to demand phone calls, manual fitting, and sending links one by one became a fully automated process, drastically reducing the school office's workload.

1. Booking by phone through the office
Parents called the school office, which had to check each teacher's schedule individually to fit every meeting. With eAgenda, parents access a dedicated site with the student's institutional email and a predefined password, see the list of teachers with their availability, and book on their own, without going through the office.
2. Rules and limits per student
Each student is entitled to five bookings in total, and controlling that manually across many teachers was laborious and error-prone. In the platform, students, class groups, and teachers are registered and the limit is enforced automatically: parents repeat the process with each chosen teacher until completing their five bookings.
3. Manual meeting links
Before, besides the fitting work, the office manually generated each meeting link and sent it to parents and teachers. With teachers' schedules integrated with Google Calendar, Google Meet links started being generated automatically for every booking, with communication handled by the platform itself.
